nProcure is the e-procurement platform that most Gujarat state departments and boards use to float tenders. Run by (n)Code Solutions, it sits at nprocure.com and handles work from R&B, GWSSB, the GUVNL companies, many municipal corporations and dozens of panchayat and board tenders. If you want state work in Gujarat that does not go through GeM, this is where you will spend your time.

The portal looks dated and it is strict about process. Miss a step and your bid simply will not upload. Once you understand how registration, the digital signature and the two-cover system work, though, it becomes routine. Here is how to get set up and place a bid without the usual first-timer mistakes.

What you need before you register

Two things gate everything else: a Class 3 Digital Signature Certificate (DSC) and a working computer set up to use it.

The DSC has to be a Class 3 certificate issued in the name of the person who will actually sign and submit bids, usually a partner, director or proprietor. You can buy one from a licensed Certifying Authority; (n)Code Solutions itself issues them, which many Gujarat bidders prefer because it is the same house that runs nProcure. Get both a signing and an encryption certificate if the option is offered, because encrypted bid submission needs it.

On the machine side, nProcure has historically worked best on Windows with the correct Java runtime and the portal's signing utility installed. Keep your DSC USB token drivers current. If bid encryption fails at the last minute, it is almost always a Java, browser or token-driver mismatch rather than a portal fault.

Registering your firm

On nprocure.com, look for the supplier or bidder registration option. You register the firm once and then bid on any department that uses the platform, so you do not repeat this for every tender.

You will enter firm details (name, constitution, PAN, GST), contact details and the DSC holder's information. The DSC is mapped to your login during this process, which is why the certificate must exist before you start. Keep your PAN, GST certificate, and firm registration handy as you fill the form.

After submitting, note your user ID carefully. Log in once to confirm the DSC is recognised and that your profile is active before you rely on it for a live tender with a deadline.

Finding and downloading a tender

Published tenders are searchable without logging in, so you can scan for relevant work before committing. Filter by department and by the item or work category that matches what you do.

Open a tender and read two things first: the last date and time for online bid submission, and the tender fee and EMD. Download the full tender document set. Gujarat tenders usually include a technical (Cover 1) part and a price or BOQ (Cover 2) part, and sometimes a separate BOQ spreadsheet you must fill in the portal's exact format. Do not retype or reformat that BOQ file; fill only the cells you are meant to fill.

Submitting your bid

Bidding on nProcure is a timed, encrypted process. You upload your technical documents and enter or upload your price, then the portal encrypts and signs everything with your DSC.

Give yourself hours, not minutes. Portals slow down near deadlines when everyone submits at once, and a token or Java hiccup at 5:55 pm for a 6:00 pm close is how experienced bidders still lose tenders. Upload documents early, keep file sizes within the stated limits, and confirm you receive a final submission acknowledgement or bid reference. That acknowledgement is your proof the bid went in.

If the tender required a physical EMD instrument or documents in a sealed cover by a certain date, do that separately and on time. Online submission does not replace a physical requirement when the tender asks for both.
